¶ Introduction
The focus of Operational Excellence is a hybrid of cost containment, operational throughput, and a stable work force. The objective is a management team who are equipped to operationalize business strategy, implement change in their organization’s processes and systems, and maximize value over the life of the asset.

¶ Step 1: Setup Priority
Go to: GRC > Business excellence and strategy > Setup for business excellence and strategy > Priority
- On the Action pane, click on the New button
- Enter a unique name/code for the Priority
- Enter a brief Description for the Priority
- Indicate whether this priority is a Hot alert
- Select the relevant Color for the priority
¶ Step 2: Setup Category
Go to: GRC > Business excellence and strategy > Setup for business excellence and strategy > Category
- On the Action pane, click on the New button
- Enter a unique name/code for the Category
- Enter a brief Description for the Category
¶ Step 3: Setup GRC actions and questions
Go to: GRC > Setup > GRC actions and questions
- On the Action pane, click on the New button
- In the Question ID field, enter the unique question id
- In the Source field, select BES
- In the Action field, select Corporate strategy
- Enter the Question text
- Select the relevant Answer type from the dropdown list
- Select the relevant Negative outcome from the dropdown list
The Question text is the text that is displayed on the first step of the Corporate strategy wizard under the Questions Fast tab
A question must have an Answer type:
- Yes/No declaration – this will display the Question text with a tick box under the Questions Fast tab
- Yes/No answer - this will display the Question text with a tick box under the Questions Fast tab
- Free text – this will display the Question text with a free text input box under the Questions Fast tab
¶ Step 4: Setup GRC action and question groups
Go to: GRC > Setup > GRC action and question groups
- On the Action pane, click on the New button
- Enter a Group ID
- Enter a brief Description for the group
- Under the Questions Fast tab, click on the Add button
- Select the relevant Question from the dropdown list

¶ Step 5: Strategy statements
Mission, vision and values statements serve as the foundation for an organization’s strategic plan. They convey the purpose, direction and underlying values of the organization. When developed and implemented in a thoughtful and deliberate manner, these statements can serve as powerful tools that provide organizations with meaningful guidance, especially under times of rapid change. Consequently, taking the time to craft relevant mission, vision and value statements should be carefully considered.
Go to: GRC > Business excellence and strategy > Strategy statements
- In the Year field, select the year that the statements are relevant for
- Enter the company’s Vision in the box provided
- Enter the company’s Mission in the box provided
- Enter the company’s Values in the box provided
¶ Step 6: Corporate strategy
The Corporate strategy wizard will guide the user through all the required steps to create the company’s corporate strategies. This wizard also allows the user to enter more strategy details.
¶ Step 6.1: Strategy
Go to: GRC > Business excellence and strategy > Corporate strategy
- Under the General Fast tab:
- In the Button strip, click on the Add button
- The Strategy ID will be populated by the system
- Enter a brief Description of the strategy
- Enter the date on which the strategy was Created
- Select the relevant Status of the strategy from the drop-down list
- Select the relevant Term from the drop-down list
- Select the relevant Action and question group from the drop-down list
- Complete the RACI Field group
- Enter additional Notes
When the Closed box is ticked, the Closed date field will be populated with today’s date and the record will be locked.
- Under the Strategic pillar Fast tab:
- In the Button strip, click on the Add button
- Select the relevant Strategic pillar from the drop-down list
- Under the Questions Fast tab:
- Enter the answers to the questions in the boxes provided
- Click on the Commit button
- Under the Business unit and department strategy Fast tab:
- In the Button strip, click on the Add button
- Select the relevant Department from the drop-down list
- Enter the date on which the strategy was Created
- Select the Responsible person from the drop-down list
- Enter a brief Strategy description
- Select the relevant Term from the drop-down list
- Select the relevant Business impact value from the drop-down list
- Enter the Cost impact amount
- Select the relevant Currency from the drop-down list
- In the Button strip, click on the View performance score button
- On the Department score dialog, use the date filters to refine your search
- Click on the Next button
¶ Step 6.2: Value analysis & score
- Under the Value creation & risk assessment Fast tab:
- In the Button strip, click on the Add button
- Select the relevant KRI & goal from the drop-down list
- The rest of the fields in the line will be populated with the details of the selected goal
- Under the Measurement Fast tab:
- The details displayed under this Fast tab, are those of the abovementioned selected goal
- Click on the Next button
Only GRC KRI & goals where the Level is indicated as Strategic, will appear on the KRI & goals drop-down list
¶ Step 6.3: Corporate initiatives
- Under the Corporate initiatives Fast tab:
- In the Button strip, click on the Add button
- Select the relevant Opportunity ID from the drop-down list
- The rest of the fields in the line will be populated with the details of the selected opportunity
- Click on the Next button
¶ Step 6.4: Organisational design
An organization is a group of people who are working together to carry out a business process or achieve a goal.
The following types of Internal organizations can be defined:
- Legal entities
- Operating units
- Teams
- Under the Internal organisations Fast tab:M
- A list of all internal organisations that have been set up in D365 for the business, is displayed
- Under the Human resources Fast tab:
- The HR goals tile opens the list of HR goals
- The Recruitment projects tile opens the list of HR recruitment projects
- The Open positions tile opens the list of HR open positions
- The Skill gap analysis tile:
On the Skill gap analysis job – person form that opens:
- Select the Name of the worker that you want to print the report for
- Under the Job selection Field group, select Yes for Jobs related to reference
- In the Job field select the worker’s job
- In the Action pane, click on the Update button
- On the Corporate strategy wizard, click on the Next button
¶ Step 6.5: Treasury funding
- Under the Cash on hand Fast tab:
- Use the filters to display the relevant data
- Under the All investment balances Fast tab, use the filters to display the relevant data
(Only visible if the Treasury module is installed)
- Under the Available facilities Fast tab, use the filters to display the relevant data
(Only visible if the Treasury module is installed)
- Click on the Next button
¶ Step 6.6: Communication
- Under the Impact Fast tab:
- Enter how big the change is, in the box provided
- Enter notes on whether the organization has enough funds for this change
- Select the Responsible person for corporate communication, from the drop-down list
- Select the relevant email template from the drop-down list
- Click on the Finish button
¶ Step 7: Corporate initiatives
The plan or program of a company that is intended to solve problems
Go to: GRC > Business excellence and strategy > Corporate initiatives
- On the Action pane, click on the New button
- Under the General Fast tab:
- Enter the Subject of the initiative
- Select the Name of the worker/organization liable for the initiative
- Select the name of the Owner of the initiative from the drop-down list
- Select the relevant Site from the drop-down list
- Select the relevant Department from the drop-down list
- The Corporate initiative slider will by default be on Yes
- An email can be sent to the selected worker in the Owner field if they have a Primary email address
- Under the Business excellence Fast tab:
- The Corporate strategy ID will be displayed if this initiative has been selected in the Corporate strategy wizard
- Enter the Expected impact date
- Select the relevant Priority from the drop-down list
- Select the Potential impact from the drop-down list
- Select the relevant Category from the drop-down list
- Select the relevant Review frequency from the drop-down list
- Select the name of the person who did the Review
- The Next follow up date will be calculated by the system according to the selected Review frequency (Can be edited)
- Enter Follow up detail in the box provided
A blue line will appear confirming that a Planned action has been created for the follow up
¶ Step 7.1: Planned actions
Go to: GRC > All planned Governance, Risk and Compliance actions
- Buttons on the All planned GRC actions list page:
- Go to source entry – Opens the form from which the follow up action was created
- Close – Closes the action and removes the record from the list
- Send email notification – Sends an email notification to the selected worker in the Reviewed by field
- View pie chart – Displays a pie chart of all the planned GRC actions
¶ Step 8: Strategic pillar
Strategic pillars is a set of high-level objectives that defines the areas of activities and initiatives that directs the organization achieve its long-term goals.
Go to: GRC > Business excellence and strategy > Strategic pillar
- In the Action pane, click on the New button
- Enter the unique Strategic pillar ID
- Enter a brief Description for the strategic pillar
¶ Step 9: Kaizen events
Kaizen Events are usually conducted in the course of a week or 5 days to address a specific business problem, a Kaizen Event is essentially a ‘focused development project’ that is able to bring about crucial improvements in a short time span. In order for the Kaizen Event to be a success, they must have a definite and brief goal aside from being equipped with readily available resources with quick results.
Go to: GRC > Business excellence and strategy > Kaizen events
- In the Action pane, click on the New button
- In the Meeting type field, select Kaizen event from the drop-down list
- Kaizen event has to be setup on the Meeting types setup form

¶ Step 10: Process improvements
Process improvement refers to the practice of finding ways to make existing processes faster, more efficient, and more reliable. This practice should be considered as an ongoing exercise, rather than a one-time action.
Go to: GRC > Business excellence and strategy > Process improvements
- In the Action pane, click on the New button
- Select the relevant Process from the drop-down list
- Select the Date on which the record was entered
- Select the relevant Meeting from the drop-down list
- The Meeting date and Meeting venue fields will be populated with the values from the selected meeting
- Select the name of the worker who Created the improvement process
- Enter brief details of the Waste/Variation identified
- Select the name of the worker who Raised the issue that needs improvement
- Enter brief details of the Decision taken to improve the process
- Select the relevant Status of the process improvement from the drop-down list
- Enter additional Ideas and Benefits in the boxes provided below the grid
- The Move button on the Action pane locks the record and changes the status to Accepted
- The Reject button on the Action pane, locks the record and changes the status to Rejected
- Business processes have to be setup under GRC>Business continuity>Setup for business continuity>Business processes administration

¶ Step 11: Corporate initiatives summary
To print the Initiatives Bubble chart:
Go to: GRC > Business excellence and strategy > Reports and Inquiries > Corporate initiatives summary
- On the Action pane, click on the Microsoft Office icon
- Under Open in Excel, select Initiatives – Bubble Chart
- Click on the Download button
- Open the spreadsheet and then open the Golf Balls tab
